SUMMARY:

As the Senior Director of Development, you will play a pivotal role in our organization, serving as the right hand to the Vice President for Development. In this influential position, you will lead a dynamic team, oversee departmental operations, and provide direction for our major gifts program while managing a personal portfolio of valued donors.

KEY RESPONSIBILITIES:

1. Strategic Leadership:

   • Collaborate closely with the VP for Development to shape and execute the department’s strategic vision.

   • Serve as a thought partner with VP for Development and CEO’s portfolio for annual gifts as well as the organization’s multi-year $25M Bridge Fund effort.

   • Provide mentorship, guidance, and leadership to team members.

   • Lead by example, ensuring that our team maintains a donor-centric approach in all interactions.

   • Oversee board committees and work groups as needed.

2. Team Management:

   • Foster a collaborative and innovative team culture that drives results and excellence.

   • Serve as “chief of staff” for the VP for Development, managing three full time direct reports (Director of Development, Director of Foundation & Corporate Relations, Director of Events and Stewardship) and provide guidance for the positions they manage.

   • Create and share reports to VP for Development on the Development team’s metrics.

3. Operational Excellence:

   • Maintain vigilant oversight of quality management processes to guarantee thoughtful cultivation and stewardship of donor relationships.

   • Implement and refine operational efficiencies to optimize the department’s productivity.

   • Establish and maintain complete, timely, and accurate records in Tessitura of portfolio work plans following established data guidelines, and oversee direct reports in doing so.

   • Take responsibility to ensure accurate gift entry, acknowledgments and pledge invoices for donors in assigned portfolio, and oversee direct reports in doing so.

   • Ensure full compliance with IRS practices and ethics within the field.

4. Donor Management:

   • Manage personal portfolio of assigned donors, valued at approximately $2M of prospects at $10k+.

   • Develop individual strategies for each donor to ensure regular contact with appropriate Symphony representatives. Emphasis on face-to-face contact during 1:1 meetings, but also leveraging intermission receptions, pre-concert dinners, events, and phone/email conversation.

   • Work with donors on planned giving opportunities.

   • Reevaluate team member portfolios annually and strategically move prospects through the donor pipeline. Other duties as assigned. Position requires the flexibility to work evenings and weekends as needed.

• Bachelor's degree and 5-7+ years’ experience in Development with progressive leadership roles. SUMMARY: The Manager for Artistic Administration (MAA) provides administrative and production support to the Programming department, including both onstage and offstage (community) work. The MAA works most closely with members of the Programming and Operations teams, coordinating and disseminating artistic information across the organization while ensuring superior service to visiting artists, conductors, and composers. This role will provide a professional growth opportunity into orchestral programming and artistic administration for an early-to-mid-career professional and will serve to strengthen the connection between artistic and administrative staff. They will additionally support the Music Director both for Symphony activities and within the community-at-large.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

ARTISTIC ADMINISTRATION:

1. 1. Provides administrative support to the VP for Artistic Planning including the generation, execution and fulfillment of artist, guest conductor, and new work commissioning contracts; Generates guest artist and conductor itineraries; Liaises with conductor and/or their management to complete conductor questionnaires and disseminates details to other departments; Coordinates artist, conductor and commissioning payments.  
   2. Plans for artist and guest conductor accommodations, ground transportation, and travel as needed. Negotiates rates with local vendors including area hotels, car service, and catering services, rider requirements, etc. Advances production details with artists and their managers; communicates guest artist needs and works collaboratively with operations to schedule soloist practice time, artist hospitality, post-concert receptions, and hall access. 
   3. Disseminates artist and programming details to all staff departments. Enters all artistic information, repertoire, and programming details into OPAS. From OPAS, generates and updates individual program pages and rehearsal orders for each concert series.
   4. As requested by VP for Artistic Planning, provide research and communications support for future program planning, including attending meetings with Artistic Advisory Committee. This may include booking selected guest artists and conductors, as supervised by the VP of Programming.
   5. In coordination with the VP for Artistic Planning, attends rehearsals and concerts as required, interfacing with guest artists and conductors to provide service and support. Maintains dressing room supplies, ticket requests, etc. to ensure a welcoming and productive experience for all artists. During production periods, this may require maintaining on-call status outside of assigned hours for urgent issues.
   6. Coordinates requests for artist activities from Marketing, Development, and EdCE departments 
   7. Ensures accuracy and proofs repertoire information and artist/conductor bios for monthly program books and brochures. 
   8. If requested, supports Director of Popular Programming with administrative tasks, production support and research on Popular programming.

MUSIC DIRECTOR SUPPORT:

1. 9. Serves as the primary point of contact for the Music Director about concerts and artistic matters, coordinating between every department to help facilitate the smooth operation of his role. Ensures timely and effective communication between the Music Director and staff.
   10. In coordination with the Assistant to the CEO, supports and tends to the needs of the Music Director, including but not limited to hospitality, OSA schedule and itinerary Management.
   11. In consultation with Development and President’s office, drafts communications, briefs and talking points for Music Director speaking engagements and donor visits.
   12. All other duties as assigned.

SUMMARY: The Education and Community Engagement Coordinator is responsible for working with the Director of Education and Community Engagement to plan, implement, administer, oversee, and evaluate the education and community engagement programs of the Oregon Symphony Association. This job has no supervisory reports but works in collaboration with Musicians, Concert Production staff, Educators, Presenters, and Community partners served by the Oregon Symphony Association.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

1. 1. In coordination with local educators and school administrators and as directed by Director of Education and Community Engagement, administrates all student attendance and participation for annual KinderKonzerts, Youth Concerts, Youth Concert Runouts, and LinkUp Concerts through student registration and billing. This includes answering calls/emails from interested educators.
   2. Supports the planning and implementation of education and community engagement programs and initiatives by coordinating and facilitating participation of musicians, contractors, and volunteers. Examples of such programs include in-school education programs such as coachings, masterclasses, and ensemble performances and specific events, performances, and engagements in the region with community partners.
   3. Assists the Director of Education and Community Engagement Programs as needed with venue and vendor logistics for education events.
   4. Provides coordination, logistics and interface with partner groups for the Prelude series and Concert Conversations at the concert hall.
   5. Provides volunteer coordination support for the Education and Community activities of the Oregon Symphony Association and the Oregon Symphony in Salem, including Salem Volunteer Ushers at subscription concerts.
   6. Assists in liaising with the Northwest Community Gospel Chorus and Chorus Manager in advance of annual Gospel Christmas performances.
   7. Cooperates with the Development department to compile and coordinate all information required for grant proposals, funding requests, implementations, and reports.
   8. Works collaboratively with the Marketing and Design teams on collateral to promote education and community engagement activities.
   9. Fosters and supports good working relationships with area classroom teachers, music teachers, music supervisors, school administrators, education coordinators of area arts organizations, OSA conducting staff, and OSA musicians with regard to all education and community engagement programs.
   10. Performs other duties as assigned by the Director of Education and Community Engagement

SUMMARY: Serve as front-line Ticket Office Representative of the Oregon Symphony providing exceptional customer service in the Ticket Office, concert hall, and Symphony events.

ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned.

1. Maintain a detailed, proficient, and working knowledge of:
   •  Tessitura Ticketing Database
     • Create, update, and recognize all coded information on an account;
     • Maintain and alter accounts – exchange tickets, take payments, add/remove tickets, add/remove options, etc.
   • Concert Event information
     • Season, single, and general admission ticket events;
     • Hall section map, appropriate ticket types, and pricing for all events;
     • Look up seats/maps and sell events on new and existing accounts.
   • Programs, products, community events, panel discussions, and all other Symphony endeavors.
   • Ticket Office policies.
2. Provide exceptional customer service by:
   • Selling tickets to Symphony concerts at the Oregon Symphony Ticket Office, the Arlene Schnitzer Concert Hall, and Smith Auditorium requiring weekday, weekend, and evening work during the Symphony season.
   • Answering a high volume of incoming phone calls directed to the ticket office (roughly 80% of all transactions occur via phone);
     • Providing helpful information and assistance to patrons and staff in a pleasant and efficient manner
     • Ascertain customer needs and make product recommendations that mee those needs using consultative sales techniques to ensure all subscriber benefits are explained and revenue is maximized
3. Assist in the operation of the Ticket Office:
   • Assemble ticket packets and other mailings as needed.
   • Balance cash and checks against sales – both daily at the Symphony Ticket Office and at each performance when working at the concert hall ticket booth.
   • Participate in concert preparation as needed including: printing and assembling will call tickets, processing online orders, and handling last minute seat change requests.
4. Assist with special projects as needed:
   • Staff Symphony tables at selected events by answering questions, handing out materials, and collecting information, while maintaining a pleasant and professional disposition as a representative of the Oregon Symphony.
   • Help with giveaways and contests.
   • Staff and assist with once-a-year Symphony Gala and community concert.

• Education and/or Experience: Employment experience in a customer service or retail sales position required. One year experience in a ticket/box office greatly preferred.

Hours: 35 hours weekly Full Time Position; this position is a hybrid role (i.e. remote and in-office), and work will be conducted at the Symphony business offices, Arlene Schnitzer Concert Hall, or Smith Auditorium. Scheduling may change seasonally. Any changes to the posted schedule must be approved by the Supervisor at least 24 hours in advance. Person in this position must be able to work a flexible schedule that will include evening and weekend hours during the Symphony season.
